Setup Guide

Redspot PBX

Follow this guide to set up your hosted Redspot PBX.

  1. Use your user credentials to log in to Redspot's portal. Please note that login information is not the same as for "My account".
  2. If necessary, click on the "Apps" icon on the top right and then on the "App Exchange" button on the left and install more apps. As a minimum, you'll need the "SmartPBX" app that is typically already installed.
  3. Start the SmartPBX app
    1. Create users under "Users". An Admin user will already have been created for you. If you are going to create many users, it may be advantageous to install the "CSV Onboarding" app, which makes it possible to create users and devices (phones) based on a spreadsheet.
      1. Assign each user an extension number ("Extension") - see important info below!
      2. If you have several phone numbers, you can assign these to individual users under "Phone Numbers" for direct inward dial (DID) to the user.
    2. Create any groups under "Groups", such as "Sales", "Support", "Accounting" and associate users ("Users"). If you have several phone numbers, you can assign these to individual groups under "Phone Numbers" for direct inward dial (DID) to the group.
    3. Create one or more "Devices" (one for each app, IP phone or adapter) and associate them with users.
    4. Click on "Main Number"
      1. Click on "Main Company Numbers" and enter your main company number. (may already be done).
      2. Click on "Office Hours Strategy" and create any opening hours.
      3. Click on "Office Holidays" and create any holidays.
      4. Click on "Incoming Call Handling" and choose how incoming calls are to be handled within/outside opening hours, holidays etc. Select e.g. that calls go to a
        • "Virtual Receptionist", a interactive voice response service (IVR) such as "For sales press 1, for support press 2... or dial the extension number of the person you wish to speak to.".
        • "Group", a group of users.
        • "User", a specific user.
        • "Device", a specific device/phone.
        • "Voicemail".
        • More advanced call flow, including also a simple welcome message without IVR menu - these must be created by Redspot, please contact us.

Important

 

  • You must create a "Device" for each device/app you wish to use. It is necessary for a whole range of PBX functions and also provides more options in terms of call routing.You can register multiple SIP devices/apps on the same "Device", but only the last registered one will receive calls, so don't do it!
  • Setting up devices/apps cannot be done via our normal setup guides, but must be done via guides expressly marked as "Ny platform/New platform" or use our general guide.
  • You can create 4 users for each line of your SIP trunk subscription for free., i.e. 2 lines will give you the right to 8 free users. If you create more, you will be invoiced for these.
  • Account Name and Realm must not be changed! (under Account).
  • Account billing information and other contact information is not synchronized to our normal system. If you want to change these, it must be done under "My account".

Selection of local numbers

To prevent local number conflicts with public numbers, they must NOT match these patterns:

Format for displaying numbers on incoming calls

By default, incoming call numbers are displayed in international E.164 format, e.g.+4588707070.
 
If you want e.g. Danish numbers shown without +45 in front, then go to "Account", "Phone Numbers Format" and select "National". It can also be selected individually for each user.
 

How to dial out

Numbers can be dialed as
 
  • International E.164 format, + followed by country code and phone number, e.g. +4588707070
  • Country code followed by telephone number, e.g. 4588707070
  • 00 followed by country code and phone number, e.g. 004588707070
  • In addition, you can dial Danish numbers without dialing the country code, e.g. 88707070

 

Limitations

The following restrictions are currently present. These kan be removed in the future.

  • The language of messages on IVR menus, opening hours etc. is determined by you, as you enter these yourself. Standard voice messages for e.g. use of voicemail are is English. Other languages will follow later.
  • Text to Speech is not supported.
  • Encryption of conversations is not supported.
  • Fax to email and email to fax are not supported.
